1. Who we are

National Private Taxi Hire ("we", "us", "our") operates the websites and the mobile/web app for booking taxis and private hire vehicles across Helensburgh, Argyll & Bute and the wider UK. We are the data controller of the personal data described in this policy.

2. Data we collect

  • Booking details: name, phone number, email, pickup and drop-off addresses, date/time, passenger count, vehicle preference, notes.
  • Account data: if you sign in, your email, hashed password or OAuth identifier, and preferences.
  • Location: only when you grant permission in the app, to place a pickup pin or track a live ride.
  • Payment data: processed by our payment provider (Stripe). We do not store full card details on our servers.
  • Device & usage: IP address, browser/OS, pages visited, timestamps — via privacy-respecting analytics and error logging.
  • Communications: emails, SMS and calls between you and our dispatch/drivers.

3. How we use your data

  • Accept, dispatch and complete your booking.
  • Send booking confirmations, driver-arrival notifications and receipts by email and SMS.
  • Provide customer support and handle complaints.
  • Prevent fraud, no-shows, and abuse of the service.
  • Comply with UK licensing, tax and legal obligations.
  • Improve our service, routes and app performance.

4. Legal basis (UK GDPR)

  • Contract: to provide the transport service you booked.
  • Legitimate interest: service improvement, fraud prevention, secure operation.
  • Consent: marketing emails and optional location tracking — you can withdraw consent at any time.
  • Legal obligation: record-keeping required by licensing authorities.

5. Sharing your data

We share the minimum necessary data with:

  • The assigned driver (name, phone, pickup/drop-off, notes).
  • Payment processor (Stripe).
  • Email/SMS providers to deliver notifications.
  • Mapping providers (Google Maps) for routing and address lookup.
  • Regulators or law-enforcement where legally required.

We never sell your personal data.

6. Retention

Booking records are retained for up to 7 years to meet UK tax and licensing obligations. Account data is kept while your account is active and for a reasonable period afterwards. You may request deletion at any time (see section 8).

7. Security

Data is stored on encrypted infrastructure with strict access controls, transport-layer encryption (HTTPS/TLS), and row-level authorisation. Passwords are hashed. We regularly review access, backups and audit logs.

8. Your rights

You have the right to:

  • Access a copy of your personal data.
  • Correct inaccurate data.
  • Ask us to delete your data (subject to legal retention).
  • Object to or restrict certain processing.
  • Port your data to another service.
  • Withdraw consent for marketing or optional tracking.
  • Complain to the UK Information Commissioner (ico.org.uk).

9. Mobile app permissions

Our iOS and Android app may request:

  • Location — to set your pickup point and, if enabled, track your journey.
  • Notifications — to send booking updates and driver arrival alerts.
  • Contacts (optional) — only if you use "book for someone else" from your address book.

All permissions are optional and can be revoked in your device settings.

10. Cookies

We use essential cookies to keep you signed in and remember booking preferences, and privacy-respecting analytics cookies to understand aggregate usage. No advertising cookies are set.

11. Children

The service is not directed at children under 13. Minors travel only when booked and accompanied by a responsible adult, per our booking terms.

12. Changes

We may update this policy from time to time. The "last updated" date at the top reflects the current version. Material changes will be notified in-app or by email.
